Blount Memorial Hospital & FileKeeper Case Study

Introduction
Since 1947, Blount Memorial Hospital has provided health care close to home for the people of East Tennessee. Many of its comprehensive health services and advanced technologies are supported by its information technology department. While the clinical side of the hospital cares for patients, the non-clinical business side cares for the day-to-day hospital administration, finance and business management.
Like many large businesses, hospitals and other health care organizations are often understaffed. Everyone is asked to do more with fewer people. “We have to be very time and cost efficient in our work,” says Stosh Morency, information systems support manager for Blount Memorial. “During our last review, we produced work equivalent to having an additional 14 employees. If we do something more than twice we automate.”

Before FileKeeper, Blount Memorial designed and used its own in-house software system to back up and protect important data files on all non-clinical workstations, laptops and remote units. However, the system was problematic and time consuming. The IT department had to configure each work station; while the end user was responsible for running a back-up program at least once a day which would gather all of the user’s files and push them to a back-up server.

With two or three of the hospital’s hard drives failing each month, Blount Memorial needed another solution. “Then we heard about FileKeeper. It provided the automated assurance of file back-up and protection we needed. FileKeeper saves time and makes backing up files easy. It used to take 30 minutes to restore someone’s file. Now it takes about 10 seconds, and it’s done by the end-user instead of someone in IT. We may not even know when or how many files or documents have been recovered. Meanwhile, we can go on to other IT issues. This makes us more efficient and the end-user satisfied and more productive.”

Challenge
Find a cost- and time-efficient answer to the increasing problem of non-clinical management and workers recovering lost and/or deleted files from their workstations, laptops and remote units.
The Solution
In the autumn of 2005, Blount Memorial deployed FileKeeper throughout their system, replacing their less-effective, in-house software system. Beginning with all IT workstations, the hospital rolled out the solution to all “power users.” After receiving positive feedback, FileKeeper was fully deployed with all management, administration, finance and personnel computers, as well as to remote facilities.
